Executive Assistant to the CEO

We seek an experienced and highly organised Executive Assistant to support our CEO comprehensively. The successful candidate will play a pivotal role in ensuring seamless operations and will be a key liaison between the CEO and various stakeholders. This position offers a unique opportunity to be at the heart of a vibrant, forward-thinking record label and creative agency.

 

Key Responsibilities:

  • Calendar Management: Coordinate and manage the CEO’s calendar, including scheduling meetings and appointments and prioritising tasks.
  • Travel Coordination: Arrange complex travel itineraries, accommodation, and other logistics for the CEO’s business trips.
  • Communication Liaison: Act as the primary point of contact between the CEO and internal/external stakeholders, filtering and prioritising communications.
  • Document Preparation: Draft and edit documents, presentations, reports, and correspondence on behalf of the CEO.
  • Meeting Support: Prepare agendas, attend meetings, take minutes, and follow up on action items to ensure timely execution.
  • Expense Management: Track, process, and reconcile expenses for the CEO, maintaining accurate records.
  • Information Handling: Handle sensitive and confidential information with the utmost discretion and professionalism.
  • Special Projects: Assist in the execution of special projects, as assigned by the CEO, which may involve research, analysis, and coordination.

Qualifications:

  • Proven experience as an Executive Assistant or similar role, preferably in the entertainment business or related industry.
  • Exceptional organisational skills and attention to detail, with the ability to multitask and prioritise effectively.
  • Strong written and verbal communication skills, with the ability to interact confidently with diverse stakeholders.
  • Proficient in office software (e.g., MS Office, Google Workspace) and other relevant tools.
  • Discretion and integrity when dealing with confidential information.
  • Proactive, resourceful, and able to work autonomously.
  • A bachelor’s degree in business administration, communications, or a related field is preferred.
