Administration Intern

The Administration Intern will support day-to-day administrative activities, assist in coordinating office functions, and contribute to the smooth operation of the organization. 

Responsibilities:

General Administrative Support:

  • Assist with general administrative tasks, including document management, pnl updation and file organization.
  • Coordinate office supplies and equipment, ensuring availability and maintaining inventory records.
  • Assist in managing correspondence, including mail, emails, and phone inquiries.
  • Help maintain office policies and procedures, ensuring compliance and efficiency.
  • Assist in managing internal and external communications, including emails and phone calls.
  • Order office supplies and research new deals and suppliers

Management and Reporting:

  • Assist in collecting and organizing data from various sources for reporting purposes including but not limited to Management Reports.
  • Maintain data accuracy and confidentiality, following data protection policies.
  • Contribute to the creation of media pack (eg. Press Kit, Presentations or the like) using Canva, Powerpoint or other relevant software.

Merchandise Management

  • Creating a workflow that includes managing end-to-end administration of the merchandise sold via the organisation’s  and artists’ websites.
  • Checking All websites and auditing the orders
  • Processing orders in WordPress and Shiprocket 
  • Generating and Printing order Manifests 
  • Packaging Orders with help from the Office Boy. 
  • Creation of reports per Artist (Website) Merchandise
  • Creating an overall merchandise P&L

Budget & P&L Management

  • Assist Accounts and managers/project leads for End to End administration of projects, budgets and PnLs ranging across several different project types – Bookings/ Shows, Music Video/ Production, Brand/Agency deals/Influencer Marketing etc.
  • Create budget estimates for required upcoming projects
  • Maintain a real-time pnl for ongoing projects
  • Ensure all bills/ receipts/ invoices are received
  • Ensure all bills/ receipts/ invoices are organized in the drive and linked to their appropriate pnls
  • Ensure that all invoices/ reimbursements are verified and cleared on a timely basis

Catalogue Administration

Complete end-to-end administration and management of all company IP, including but not limited to music release, music videos, long & short-form content.

  • Manage the team provided to you as a part of the Catalogue Administration process
  • Validate digital music metadata content, in accordance with the rules outlined by iTunes and other international digital music stores
  • Check and verify all metadata submitted by labels and artists
  • Registering all works on the relevant platforms and organizations
  • Ensuring that the content is processed as soon as it is submitted by the labels/artists respecting the release date of the submitted releases
  • Quality checking all of the releases which includes metadata and thumbnail guidelines to adhere to while processing the releases
  • Ensure proper coordination with all release stakeholders
  • Ensure on-time customer support for all raised queries

Qualifications & Skills Required:

  • Bachelor’s Degree
  • Freshers welcome to apply
  • Basic understanding of accounting principles and practices
  • Good written and verbal communication skills
  • Proficient computer skills, including experience with Microsoft Office Suite (Word, Excel) and other relevant software.
  • Ability to multitask, prioritise and manage time effectively.
  • Ability to maintain confidentiality and handle sensitive information with professionalism.
